Three steps to your first job

Set up your company, bring in one active enquiry, then turn its accepted quote into a job with delivery tasks.

Explore the features and join the waitlist to hear when you can start your 21-day trial. Customer accounts and billing are not open yet. These guides explain the workflow for a customer workspace.

1. Set up your company

When customer accounts open, sign in with the eight-digit code sent to your email. A code expires after ten minutes. Use the same email each time. Open your own workspace and go to Settings → Your company. Add your company name, production reference prefix, shared time zone, currency and default tax rate. Choose the prefix before your first real enquiry where possible: it stays with that production from lead to job.

Add your usual rate-card items, quote terms and email signature. A filming day, editing hour and fixed package can all sit on the same quote. Use your own commercial values. A logo is optional; you do not need to finish every branding detail before trying the workflow.

Ready for the next step: your company defaults and rates match how you quote. Customer accounts are not open yet. For now, explore the feature pages and join the waitlist to hear when you can start your 21-day trial.

2. Bring in your active work

When checkout opens, the owner can start the 21-day trial from Settings. Choose your billing currency and total team seats in Settings → Your plan. Australian pricing is A$99 per company per month including GST after the trial, with three seats included. Each extra staff seat is A$19 per month including GST. Local prices in USD, GBP, EUR, NZD, CAD and SGD are shown before checkout. Your subscription keeps its agreed currency and unit prices. Checkout collects a payment method; cancel before the trial ends to avoid the subscription charge. Company settings can be prepared first, but adding contacts, enquiries and jobs requires an active trial or subscription. Then choose Add lead and start with one active enquiry. Record the client, brief, owner and next action with a due date. Check the contact details and the production reference. This gives you a real piece of work to follow through the app.

If you have a contacts list, go to Clients → Import CSV. Start with five to ten rows using name, company, email, phone and notes, then check the result. The importer brings in contacts, not historic jobs, quotes or conversations. Keep your old system available while you check active work.

Ready for the next step: one enquiry has a clear brief and next action. Gmail, AI and SMS are optional connected services awaiting activation; they are not required to prepare a quote, record acceptance or manage a job.

3. Turn your first quote into a job

Open the enquiry and choose Create quote. Add each distinct film, live stream or shoot-only deliverable, then its named versions and formats. Record shoot requirements and included revisions. Check the price, tax, scope and terms. You can save an incomplete draft; resolve its scope checks before sending.

With Gmail activated, review and approve the send in the app. Otherwise use Copy quote, send through your current process and choose Record as sent with evidence. When the client agrees, choose Record acceptance on that sent version and record the agreement, job owner and delivery date. Do not record acceptance simply to complete setup.

The job preserves the accepted scope and creates one task per delivery version. Review the initial dates and add preparation or review tasks. Calendar shows the dated work in one company view. A later change uses Propose variation from the job; client approval creates the extra delivery tasks.

Your first result: the original enquiry, agreed quote, job and delivery tasks share one production reference. Keep using Today for next actions, Tasks for outstanding work and Calendar for dates. The starting guide on Today stays visible until your first job is created.

After your first job: bring the team across

Once the workflow fits, add more active enquiries and import the rest of your checked contacts in batches. The owner can create team invitation links in Settings; colleagues must sign in using the invited email. The Studio plan includes three people in total, including the owner. At launch, buy extra seats under Your plan, review the monthly total and any part-month adjustment, then confirm. A paid upgrade unlocks capacity only after payment succeeds. Pending invitations reserve seats for seven days. Revoke unused invitations to free those seats. To reduce your plan, remove unused team access or revoke invitations first. Changes apply immediately; any credit stays on the Stripe balance. Extra seats share the company’s Gmail connection and AI allowance.

An invitation grants access to the existing company workspace. Use the invited email when signing in. Connect Gmail, AI or SMS from Settings only once that service is available, then test it with a small amount of agreed data.
