Bring in enquiries and follow up
Choose your mailbox scope, review new leads and keep people in control of every send.
Explore the features and join the waitlist to hear when you can start your 21-day trial. Customer accounts and billing are not open yet. These guides explain the workflow for a customer workspace.
Available once Gmail is activated
Gmail is awaiting service activation. While Settings shows Setup pending, add enquiries manually and send messages through your existing mailbox. You do not need Gmail connected to create clients, leads, quotes or tasks.
Choose a suitable mailbox
The workspace owner connects one Gmail mailbox from Settings. Use an enquiry or sales mailbox that your team is authorised to share. Google asks for read and send permissions; read the consent screen before approving.
After connecting, choose the Gmail label to track. A dedicated enquiries label gives you more control over what is considered for import. Imported client conversations are visible to workspace members.
Review new enquiry candidates
Sync checks recent labelled threads from the last 30 days, up to 20 threads per batch. Matching video-production enquiries appear as Unreviewed. This first version uses keyword matching, so review the contact, brief and relevance.
Website form emails can become enquiry candidates too. Check the extracted reply address carefully, especially when the email was sent by a no-reply address or form service. Adjust the client details before sending.
Keep the next step clear
Every lead can have an owner, next action and due date. Add a follow-up task if you want it on Today. A newly synced client reply clears linked follow-up tasks and prompts you to review the reply. Ordinary tasks remain until you complete them.
Sync now is available in Settings. While the app is open, it also checks periodically. Unattended background sync must be activated separately before you rely on updates with the app closed.
Review before sending
Open the conversation to write a reply. When AI is available, you can ask for a draft, but you still check the recipient, facts and complete wording. Sending requires explicit approval.
If delivery cannot be confirmed, check your Gmail Sent folder before retrying. A network timeout can happen after an email has already been sent.
Optional internal SMS alerts
SMS also needs service activation. The owner verifies a recipient number, chooses weekday business hours and sets an alert cap. The intended workflow is one new-enquiry alert and one reminder after two unanswered business hours.
These are internal alerts, not a client marketing campaign. Each alert can use multiple SMS segments. SMS pricing must be agreed before delivery is enabled.
Disconnect when you need to
Disconnect Gmail in Settings to stop future access and sync. Previously imported conversations remain in the workspace. Disconnecting is not the same as deleting imported records.
