Task management for video production
Turn “we need to sort that out” into an action the team can find. Keep each task with the production it supports and the date it needs attention.
Start with the agreed delivery versions
Recording quote acceptance creates one task per named delivery version. A film with a master and a captioned vertical cut creates two tasks. Each stays linked to the job and its production reference, initially using the job delivery date.
Approving a variation creates tasks for its additional versions. Pending and declined variations do not create work. These are delivery tasks, not a complete production checklist; add preparation, filming and review actions yourself. Earlier jobs are not backfilled automatically.
Make tasks specific enough to finish
A task needs a clear action and, when useful, a due date. “Ask the venue about loading access” is easier to complete than “Venue”. Link it to an enquiry or job so its production reference appears beside the task.
Use company-wide tasks for work that does not belong to a production, such as updating your service descriptions. The Tasks screen keeps open and completed work available beyond the Today summary.
Change the date once
Edit a task from its record or from Calendar. The calendar projects the due date from the task itself, so there is no separate event to move. Automatic delivery tasks get an initial date at acceptance or variation approval; changing the overall job date later does not reschedule those task dates for you. A task without a due date remains on Tasks but does not occupy a calendar day.
Mark it complete when the action is done. Completed tasks leave the open-work calendar and remain in the completed list, where they can be reopened if necessary.
Use follow-ups for a specific purpose
A linked follow-up task can clear when a new client reply is synced or the quote is accepted. Ordinary production tasks remain until someone marks them complete. Choose the type according to what should end the action.
The current release does not assign an individual task owner, run recurring task rules or model task dependencies. Use explicit task titles and the lead or job owner to make responsibility clear.
Common questions
Can I edit a task after creating it?
Yes. Open the task to change its title, production link, due date or type.
Do completed tasks disappear?
They leave Today’s open actions and Calendar, but remain in the completed section of Tasks.
