Practical production resource

Video production scheduling checklist

A delivery deadline is only one part of the schedule. Work backwards through review, editing, filming and preparation, then check the people and inputs each stage depends on.

Start with the dates that cannot move

Identify an event, launch or publication date and clarify what must be delivered before it. Allow for the client’s review process and any final technical checks. A file upload on launch morning may not meet the client’s actual need.

Put assumptions beside the dates. If the first edit depends on receiving a script or brand assets, name that dependency and the date the input is needed.

Check capacity before confirming the plan

Verify crew, location, contributor and equipment availability through your booking process. Check travel and access arrangements as well as the filming window. Keep tentative holds distinguishable from confirmed commitments.

Reserve editing and review time deliberately. A calendar can look open while an editor is already committed to another project whose work has not been entered yet.

Keep the team’s view aligned

Use the production reference on meetings, tasks and delivery records. Move the source deadline when an agreed date changes and tell the people affected through your normal communication process. Review job and individual task dates separately: acceptance and variation approval set initial task dates, not an automatically recalculated schedule.

In this release, the organisation calendar combines lead follow-ups, open tasks, job deliveries and manually added all-day entries. It does not perform resource conflict checking or send calendar invitations.

Use the template

Adapt the fields to your own production and review the details before sharing it with a client.

Common questions

Can this calendar prevent double booking?

Not yet. The app records all-day plans and deadlines. Verify individual resource availability in your existing booking process.

What is the difference between a milestone and a task?

A milestone marks a significant date or decision. A task describes an action to complete. Both can be useful, but avoid entering duplicate records for the same action.
