How to structure video production pricing

Start with the work you are agreeing to deliver. A useful pricing process makes the effort, assumptions and limits visible before you decide the selling price.

Break down the actual work

List planning, filming and post-production separately. Include preparation, travel, client coordination, media handling, captions, review rounds and delivery. Identify outside services that depend on supplier quotes.

Then check the constraints: fixed dates, venue access, contributor availability and how quickly the client can approve work. Two projects with the same final runtime can require very different effort.

Choose a pricing structure the client can understand

Day rates are useful when the production allowance is clear. Hourly editing can suit work with variable effort if expectations and reporting are agreed. A fixed package needs a precise deliverable list and limits. You can combine these approaches.

For a calculation example only, one filming day at 1,800 plus two editing days at 1,100 produces a subtotal of 4,000 in the chosen currency. Those are fictional inputs, not recommended rates. Review tax and commercial terms for your own business.

Check the assumptions before sending

Ask whether the proposed price covers your expected effort, supplier costs and business overheads. Decide how changes to scope or assumptions will be discussed. After acceptance, a priced variation can record the new deliverables, additional price, date and client decision. A clear price is easier to defend when the work behind it is also clear.

The CRM calculates the quote from your entered quantities and prices. It does not calculate job profitability, recommend market rates, track actual time or decide your tax treatment. Keep those decisions in your existing financial process.

Common questions

Should every client receive the same price?

A consistent process does not require identical prices. Different deliverables, rights, timings, complexity and service levels can lead to different proposals.

Can AI decide the quote price?

In this app, no. The company enters its prices and quantities. AI assistance is limited to preparing text and understanding the brief.
