Video production client onboarding checklist

Once the quote is accepted, turn the agreement into a workable plan. Confirm who needs to provide what, who can approve it and which dates depend on those decisions.

Confirm the people and responsibilities

Identify the main day-to-day contact, the person approving the work and the person coordinating feedback. Ask whether procurement, communications, legal or another stakeholder must review anything before delivery.

Keep the accepted quote reference visible during onboarding. If the kickoff introduces new films, formats or review requirements, compare them with the agreed scope and propose a priced variation where needed. Record the client’s decision before treating the change as approved.

Request the inputs the job depends on

List brand assets, scripts, existing footage, contributor details, access arrangements and any supplied content. For each item, name the provider and the date it is needed. Avoid one vague task called “Client assets”.

Use your established secure file-sharing process for actual media and documents. The app keeps notes, tasks and links; it is not a footage storage or review platform.

Agree the review and delivery path

Discuss first-cut timing, feedback deadlines, included revision rounds and final formats. Make the dependency between client feedback and delivery explicit. A launch date may be fixed while a review date still needs agreement.

Record the job owner and delivery date, review the automatically created delivery tasks, then add the specific onboarding tasks. Place relevant meetings and milestones on the shared calendar so the team sees the same plan.

Use the template

Adapt the fields to your own production and review the details before sharing it with a client.

Common questions

When should onboarding begin?

Begin detailed delivery planning once the commercial agreement is clear. Earlier discovery can collect information, but avoid treating an unconfirmed enquiry as an approved production.

Can clients fill this out in an app portal?

The app does not have a client portal. Share the template through your current process and record the agreed actions in the workspace.
