Gmail CRM workflow for video production
Bring relevant client conversations alongside the brief and quote, with a deliberate choice about which mailbox content your team can see.
Gmail activation is pending.
Choose the mailbox and label
The owner connects one Gmail mailbox per workspace once service setup is complete. A dedicated enquiries label helps limit the scope. Imported conversations become visible to workspace members, so use a mailbox the team is authorised to share.
Google requests read and send permissions. The app stores connection credentials encrypted and supports disconnecting future access from Settings. Disconnecting does not delete previously imported records.
Review the lead before acting
Sync examines recent threads in bounded batches and creates matching enquiry candidates as Unreviewed. It can also consider website form notification emails delivered to that mailbox. Check the extracted contact, reply address and brief before you respond.
The first version looks back 30 days and uses matching rules. It is not a full mailbox migration or a guarantee that every relevant message will be classified correctly. Manual leads remain available.
Keep the send under your control
Draft a reply in the lead conversation, review its recipient and contents, then approve the send. Quotes use the saved version’s scope, terms and calculated totals. AI assistance, when activated, only prepares suggestions.
If a delivery result is uncertain, inspect Gmail Sent before trying again. The app blocks automatic retry of ambiguous sends to reduce the chance of sending the same message twice. Background syncing also requires separate activation.
Common questions
Is Gmail available now?
No. Service credentials and end-to-end activation are still pending. Settings shows its availability.
Can I use Outlook instead?
Outlook is not included in the current release. Use manual lead entry and your current email process while evaluating the core workflow.
