Practical production resource
Video production follow-up email templates
A useful follow-up reminds the client what is outstanding and makes the next reply easy. Refer to the actual conversation, ask a specific question and avoid promising dates you have not checked.
Match the message to the decision
An unanswered discovery question needs a different message from a quote awaiting approval. Name the relevant production and make one clear request. Check that the client has not already replied through another channel.
For a quote follow-up, refer to the actual quote version. Ask whether the scope fits or whether there is an unresolved question. An invented deadline or claim of limited availability can create the wrong expectation.
Adapt the examples before sending
Replace every bracketed field and check the recipient, dates and facts. The examples are intentionally brief; add relevant context from the client conversation rather than generic enthusiasm.
The third example makes an asset dependency visible without assuming the client is at fault. If a delay changes the delivery plan, discuss the new date explicitly.
Keep the next action with the enquiry
Set a next-action date on the lead or add a follow-up task for a distinct action. When Gmail is activated, a newly synced client reply can clear linked follow-up tasks. Ordinary production tasks remain until completed.
AI assistance can help prepare wording once activated, but every send still requires review. These templates can also be copied into your existing email tool.
Use the template
Adapt the fields to your own production and review the details before sharing it with a client.

Common questions
How often should I follow up?
Use the client’s stated decision date and the urgency of the actual project. The templates do not define a universal cadence or authorise repeated unsolicited messages.
Does the CRM send these automatically?
No. They are drafts to adapt and review. Sending through the app requires an activated Gmail connection and explicit approval.
